As a training company and safety adviser, we collect and maintain customer information which enables us to provide our services to companies and individuals. This policy has been written to clarify the types of information that we collect, how it may be shared, where and for how long it is stored and how customers may access it.
This policy has been updated by RT Safety Ltd (to include our trading brands of RT Safety Training, RT Safety Supplies and foodhygiene.training) for the General Data Protection Regulation (GDPR) 2018.

What information do we collect?
Training courses and Safety advisory services
As part of the booking and enquiry process for services, we collect data that is provided by the business or individual. This includes a named person, address and contact details.
We collect names, addresses, dates of birth and contact details for learners that attend our training courses, in-person or online. For requalification courses, we may also collect data regarding previous training courses attended. If learners have requested reasonable adjustments, to enable them to access the course, we will keep a record of this request. The data may be collected via our secure website or over the telephone. Health and fitness information is collected, on behalf of employers, for manual handling training courses.
As part of the ordering and enquiry process for our safety products and consumables, we collect data that is provided by the business or individual. This includes a named person, address and contact details. The data may be collected via our secure website or over the telephone.
Online payments for training courses and safety supplies are processed on our behalf by PayPal. Telephone payments and in-person payments are processed on our behalf by Elavon. RT Safety Ltd does not store debit or credit card information.
RT Safety Ltd collects data for a marketing database via a third-party application, Mailchimp (www.mailchimp.com). The database operates via an opt-in method, whereby interested individuals provide consent to receive further information via email. There is an option to unsubscribe with every communication that is sent.
We use 123FormBuilder (www.123formbuilder.com) to build our website contact forms. The information contained in the forms is only accessed by us and not shared with third-parties.
RT Safety Ltd collects personal data relating to our employees and our associates, which is only used in relation to their employment or contracted work.
What information do we share?
Training courses and Safety advisory services
For externally accredited training courses, we share personal information of each learner with one or more of the following Awarding Organisations –
The information is shared to enable them to carry out their role as an Awarding Organisation, including the issuing of certificates. We also share details of reasonable adjustment requests.
We may also share information with regulatory bodies, such as the Health and Safety Executive (HSE), if a request is made.
For large orders, we may share address details with our trusted suppliers to enable them to provide fulfilment direct from their warehouse. This information is only used to fulfil the order.
We submit debit/credit card information to Elavon for telephone payments, via a secure terminal, which is used to process the payment. All other payment information is submitted by the customer and not collected by us.
Basic information, including the name of the learner, the course that they attended, and the date of the course is stored indefinitely. This enables us to deal with enquiries from the learners such as confirmation of training dates and certificate reprints.
Information provided on training course registers, which includes dates of birth and address or company details is retained for the following periods,
We store this information to enable us to manage the learner qualifications, help with learner enquiries, and to be available during audits from the relevant Awarding Organisations.
We maintain a customer address database for mailing of certificates, which is held indefinitely but is used solely for this purpose.
Safety advisory services
Customer and business information, including audit reports are retained indefinitely, to enable us to provide information to regulatory bodies, such as the HSE.
We retain basic customer address details to enable us to fulfil current and future orders.
Application forms, interview notes and CVs from prospective employees are only retained for a maximum of 6 months after the vacancy has closed.
Personal data including name, address, contact details, NI number, date of birth, bank details, employment history, medical history, next of kin contact details is stored for the duration of the employment. When the employment ends, all data is securely archived for a period of 3 years before being destroyed.
Data storage and security
Customer and personal information is stored securely on our servers and is backed up locally and remotely. We have secure systems in place to prevent access by unauthorised individuals.
We use SSL security on all of our websites, displaying the green padlock in your browser.
